Standard Rule Property Sheets
If custom property sheets have been defined for your role these will be shown as tabs on the Standard Rules list page of a Library Draft.
Property sheets provide a spreadsheet-like view of all the Standard Rules of the Draft in a single table. The columns which are available in the sheet are defined for the sheet and the Role so not all attributes of a rule may be shown. Some columns may also be read-only for a particular Role and Roles which have no permission to edit objects will see a read-only view of the rules.
Standard Rules only exist in Library Drafts, so these sheets are only available there.
Important
No data is saved until all errors for the sheet are corrected. All changes save or no changes are saved.
The columns
- Rule Type
Chosen by name: "Must Exist", "Must Not Exist", "Must have Attribute" or "May Exist".
- Object Type
Chosen by name, for example "Form" or "Folder". The list includes the custom object types of the URL.
- Value Attribute Name, Value Attribute Value and Value is Wildcard?
Only used by "Must have Attribute" rules, where the attribute name is required. For "Must Exist" and "Must Not Exist" rules the name and value are cleared when the rule is saved.
- Expression
The expression which decides the Drafts a rule is active in. A rule with an empty expression is active in no Draft, even when Is Active? is ticked, and a new row starts with an empty expression. Enter
Truefor a rule which should be active in every Draft linked to the library. See Standard Rules for how expressions are written.- Priority
A whole number from 1 (high) to 99 (low).
- Rule ID
Must be different from every other rule in the Draft. Upper and lower case are treated as the same. If you leave it empty the rule is given the next free identifier when it is saved.
The same checks are made here as in the Standard Rule editor. A cell which fails a check is marked in the sheet and hovering over the mark shows the reason.
Adding new Rules
New rules may be added by clicking the Add New button in the toolbar. The new rule will not be created until the Save button is clicked. Property sheets may be set up with default values for some attributes which will be automatically entered.
Rows can also be pasted from a spreadsheet. If you paste more rows than the sheet has, new rules are added for the
extra rows. Use the same names for Rule Type and Object Type as the sheet shows. These are the names used in the
TG_Rules sheet of a Draft exported to Excel.
Note
Pasting a row with the Rule ID of a rule that already exists does not change that rule. It is reported as a duplicate. To change an existing rule, edit or paste over its own row.
Deleting Rules
Rules can be deleted by selecting rows and using the right-click menu "Delete Row(s)". The rules are deleted when the Save button is clicked. Note that this action cannot be undone.
If a rule you are deleting is active in one or more Drafts you are told how many and asked to confirm before anything is deleted.
After saving
Saving changes to rules removes any Draft Approvals from the Library Draft, as any other change to a Draft does. See Approving a Draft. These are the Approvals given to the Draft itself by users with the 'Approve Draft' permission. They are not the approvals given to requests to deviate from the standard library.
Which rules are active in each Draft linked to the library is worked out as part of the save, so the Active in Drafts column is up to date as soon as the save finishes.
The Standards Compliance of those Drafts is recalculated in the background after you save. For a library used by many Drafts this can take some time, so compliance in those Drafts may not be up to date straight away.
Undo and Redo
Changes to the spreadsheet can be undone and re-done using the Undo and redo buttons in the toolbar. Note that saving the sheet or deleting rows from the sheet cannot be undone.
